From Approved Estimate to Electrical Invoice Without Retyping a Line

In a lot of electrical shops, the same job gets typed three times. Once on the estimate, once on the work order and once on the invoice. Every retype is a chance for a price to change, a line to go missing, or a fixture count to come out different. The fix is not more careful typing. It is typing once.

The Lines and the Tax Come First

The previous guide, Sales Tax on Electrical Invoices: Set It Once So Every Invoice Gets It Right, covered how tax gets applied consistently once the lines are on the invoice. This guide steps back to where those lines come from on bigger jobs: the estimate.

In ElectricalBossPro, the estimate, the job and the invoice are one chain. Build it once and it carries all the way through.

Building the Estimate

Estimates are built from your own service list. For a typical residential install that might be a panel upgrade, a whole-house surge protector and a dedicated circuit for a new appliance, each at the price you set. Rewires can be priced per square foot, and services can be priced off the measurements saved on the property, such as square feet, fixtures or circuits.

Equipment details can be filled in on the estimate too. On an EV charger or generator job, that means the model, rating and location are already written down before the job is ever scheduled. You can also save estimate templates for the jobs you quote again and again, so a standard EV charger install starts from a ready-made list instead of a blank page.

The Customer Approves Online

The customer gets the estimate and approves it online. No printing, signing, scanning or photographing a signed page. If they sit on it, estimate follow-up emails remind them it is waiting.

The moment they approve, the approved estimate becomes the scheduled job. The office does not open a new screen and copy the services across. They are already there.

The Job Carries the Lines

Once the job is on the schedule, the tech sees it on their phone with the address, the services, the equipment details and the access notes. When they finish and tap Complete, the job carries its services onto the invoice, with sales tax applied from your settings.

The result is an invoice that matches what the customer approved, line for line, at the prices they approved. No surprises for the customer and no reconciling for the office.

If something was added on site, such as an extra outlet the customer asked for while the tech was there, it goes on the job as its own line and shows up on the invoice that way. The approved work stays at the approved price, and the add-on is clearly separate.

Equipment Details Flow to the House

Billing is not the only thing that carries through. Equipment details entered on the estimate carry onto the job, and changes made on a job flow back to the house. After the install, the property's equipment list shows the new panel, charger or generator with its brand, model, serial number, year installed and rating.

That pays off at billing time later. When the customer calls next year for generator maintenance, the equipment is already on the house, and the maintenance job fills in from it with the “From House” picker.

Deposits Fit In the Chain

On big installs, many shops bill part of the price when the estimate is approved. In ElectricalBossPro, that deposit is billed as its own invoice or line item, and the balance goes on the final invoice when the job is complete. Both live on the same client, so it is easy to see what was paid up front. More on that in Deposits on Big Electrical Installs: Billing Part Up Front as Its Own Invoice.

What Typing Once Saves

Retyping is not just slow. It is where billing mistakes come from:

When the approved estimate becomes the job and the job becomes the invoice, all of those go away. To see how this chain connects to card on file, charging at completion and online payment, visit the ElectricalBossPro electrical invoicing software page.

Quote It Once, Bill It Once

ElectricalBossPro turns an approved estimate into the scheduled job and the job into the invoice, with the same lines and prices all the way through.
