Billing as an Owner-Operator Electrician: Doing the Work and Getting Paid From One Phone
When you are a one-van electrical shop, you are the tech, the dispatcher, the estimator and the billing department. You spend the day in attics, crawl spaces and garages, and then you spend the evening at the kitchen table turning the day into invoices. Every hour of that second shift is an hour you are not resting, not with family, and not booking the next job.
All the Roles in One Person
The previous guide, Who Bills What: The Office, the Tech and the Owner in Electrical Billing, split billing between the tech, the office and the owner. For an owner-operator, those are all you. The goal is to make each part as small as possible, so it fits into the workday instead of the evening.
ElectricalBossPro runs on the phone you already carry, in the browser on iPhone or Android, installable to the home screen with no app store download.
Set It Up Once
The time you put in up front is what saves time every day after. An owner-operator's setup usually looks like this:
- Your service list. Service calls, troubleshooting, outlets, GFCIs, breakers, fans, fixtures, surge protectors, EV chargers, panel upgrades and generator work, at your prices.
- Sales tax. Set once in your settings.
- Your customers. Add them by hand or bring them in with CSV import. Imported addresses are placed on the map automatically.
- How each customer pays. Card on file for homeowners, Monthly for the landlord with several rentals.
- Plans. Yearly safety inspections and generator maintenance at 365 days between visits.
The Workday
Your day is on your phone in route order. Each job card shows the address with a navigation button, the equipment saved on the house, access notes and past notes. Customers get automatic on-the-way and arrived texts, so you are not texting them from the truck.
At each stop, you tap Start, do the work, take before-and-after photos, and tap Complete. The invoice is created with line items and sales tax, and the card on file can be charged right then. By the time you pull away, that job is billed and, for most customers, paid.
The time clock is on the same phone if you track your own hours, and if you add a helper later, they get their own PIN.
Estimates Between Stops
Bigger jobs start as estimates, and an owner-operator often builds them in the truck between calls. Build the estimate from your service list or an estimate template, and send it. The customer approves online, and the approved estimate becomes the scheduled job. Estimate follow-up emails remind the ones who have not answered, so you do not have to.
On a panel upgrade or generator, bill a deposit as its own invoice or line item when the customer approves, if that is your policy. The balance goes on the final invoice at completion.
What Is Left for the Evening
With billing happening at completion, the evening list gets short:
- Glance at any open invoices. Past-due follow-up has already sent reminders.
- Reply to any customer texts through two-way texting.
- Check tomorrow's route and the Waiting List for plan visits coming due.
That is a few minutes, not a few hours. Once a month, look at the reports to see what was billed, what came in and what is still owed.
Plans Are Your Best Friend
For an owner-operator, maintenance plans are especially valuable. They are work that comes due on its own, shows up on the Waiting List map, and bills at completion from the card on file. They smooth out the slow weeks without any extra selling. Customers can even sign up for plans from the customer app or your website sign-up form, which captures their card. Room to Grow
The setup that works for one van works for two or three. When you hire a tech, give them a PIN and a van. When you hire office help, give them an office user role. Plans start at $59 a month on Start, with Pro at $89 and Crew at $199 as the shop grows, and every plan includes billing.
Get Your Evenings Back
An owner-operator electrician does enough work during the day. Billing should not add a second shift at night. With ElectricalBossPro, invoicing and payment happen when you tap Complete, plans bill themselves, and follow-up runs on its own.
